Request to activate a curricular internship

HOW TO FIND THE RIGHT CANDIDATE FOR AN INTERNSHIP

Posting an ad on the Career Center is the fastest and most effective way to reach students and graduates and receive motivated applications. Once validated by the Career Service office, the posting remains visible for 30 days, unless otherwise requested. The posting service is free.

REQUEST TO START A CURRICULAR INTERNSHIP

Once you have identified the trainee or intern, you must complete the request to start the curricular internship at least 5 working days before the start date via the Luiss Internship Platform (an online service).

REGISTRATION ON THE INTERNSHIP PLATFORM

If you don't have an account for the Internship Platform, click on Registration.

Students cannot register on the Luiss Internship Platform; the employer or host organization must do so.

Upon completing registration, the applicant will receive an email from xxxx@org.luiss.it with their Luiss username and a temporary password that needs to be changed.

To recover and/or reset your password, please email supportoit@luiss.it, providing your Luiss username (xxxx@org.luiss.it).

COMPLETING THE TRAINING PROJECT AND AGREEMENT

If you already have an account for the Internship Platform, or once you have your login credentials, you can select the type of internship (in Italy or abroad) and fill out the Training Project.

Students cannot submit the activation request; it must be done by the employer or host organization.

Here are the details you need to request the activation of a curricular internship:

  • student's tax code (to be verified with the student)
  •  number of university credits - CFU (to be verified with the student)
  • contact details for the company tutor
  • activities, learning objectives, and skills to be acquired
  • dates, times, and location of the internship
  • any benefits (reimbursement, company meal vouchers/cafeteria, option for remote work)
  • any periods of suspension.

What are the different steps in the process? Please refer to the infographic. Note that the curricular internship will be considered active and valid only after the Training Project and the specific Agreement are signed by the employer, the intern, and the Luiss General Manager.

Within 48 hours of the request, the system sends a FACSIMILE of the training project from service.workflow@luiss.it to both the employer/host organization and the student to confirm the data entered. At this stage, it's very important to check that the information entered is correct and to report any necessary changes and/or additions to tirocinicurriculari@luiss.it. Once the information is confirmed, it will no longer be possible to request changes.

Once the data is confirmed, the system forwards the Training Program and the specific Agreement within 24 hours for digital signature via DocuSign.

The documents must be digitally signed before the start of the internship by the legal representative of the employer or host organization (or a delegate with signatory authority), by the intern, and by the Luiss Director General. Interns will not be able to begin their internship until the Training Program and the Agreement are signed by all parties.

As stipulated in the Internship Regulations, once the documents are submitted, the Program Director has 7 days to assess the suitability of the proposed internship activities and their alignment with the student’s course of study, with a view to awarding credit hours.

EXTENSION REQUEST

To request an extension for an active, ongoing internship (provided it's before the degree award date), log in with your credentials and click on “Request internship extension.”

END OF THE INTERNSHIP

At the end of the internship period, the student and the host organization’s tutor must complete an online experience evaluation questionnaire. They will receive a link and instructions via email on the last day of the internship.

The student is responsible for ensuring that the employer completes the final questionnaire.

Only after both questionnaires have been completed can the Career Service office submit a request for validation of the credits to the Student Affairs Office.

EARNING CREDITS

To earn credit, students must complete a minimum number of hours, which can vary based on the number of credits required by their curriculum. 1 CFU corresponds to 25 hours of internship (e.g., 4 CFUs = 100 hours of internship). Recognition always occurs at the end of the internship, after the scheduled completion date specified in the training project.

Within 14 days, and only if the required final evaluations for the employer/host organization and the intern are completed, the internship undergoes final validation by the Vice Rector for Academic Affairs and the Student Affairs Office for the registration of credits.
